This privacy policy, together with our Terms & Conditions and Website Disclaimer, govern the relationship between you and Gippsland Youth Spaces. We are committed to protecting the privacy of our users, both adults and minors, as online visitor to our website or as direct users of our services or as stakeholders.
We use the information we collect about you to maximize the services that we provide to you. We respect the privacy and confidentiality of the information provided by you and adhere to the Australian Privacy Principles and in compliance with the Privacy and Data Protection Act 2014 (PDP Act) and Health Records Act 2001 (HR Act). Please read our privacy policy below carefully.
GUIDED BY THE CHILD INFORMATION SHARING SCHEME (CISS)
Although Gippsland Youth Spaces is not prescribed as an Information Sharing Entity (ISE) under the Victorian government’s Child Information Sharing Scheme (CISS), we align our policies and procedures with the spirit and intent of the CISS guidelines. This includes adopting practices that prioritise the wellbeing and safety of children, being vigilant about privacy and consent, and fostering a collaborative approach to supporting children's needs, similar to the objectives of the CISS.
INFORMATION WE COLLECT FROM YOU AND HOW IT IS USED
In the course of your visits to our website or use of our products and services, we may obtain any of the following information about you: name, company name, school, date of birth, email address, telephone number, credit card details, billing and home address, geographic location, IP address, emergency medical and critical health information, next of kin and family information, digital signatures, survey responses, support queries, blog comments and social media handles (together ‘Personal Data’).
For minors under 18, this information is collected in line with the guidance of the Child Information Sharing Scheme (CISS) in Victoria, and guardian consent is necessary. We promptly delete any Personal Data collected from a minor without the required guardian consent.
Personally Identifiable Information: We use the information we collect, including that of minors with appropriate guardian consent, to deliver our services. This includes communicating with you or your guardian, providing technical support, notifying you or your guardian of updates and offers, sharing useful content, measuring satisfaction, diagnosing problems, addressing critical dietary or medical needs, and offering a personalised website experience or in-person events and services.
Marketing communications are sent only to those who have requested or subscribed to them, including the guardians of minors. You or your guardian can opt out of our marketing communications at any time by unsubscribing or emailing us, and we will action your request immediately.
Non-Personally Identifiable Information: We use the information we collect in aggregated and anonymized forms to enhance our services. This includes administering our website, producing reports and analytics, advertising our products and services, and identifying user demands to assist in meeting user needs generally.
PUBLICLY AVAILABLE INFORMATION AND SOCIAL MEDIA
Any information that you, or your guardian on your behalf if you are a minor, choose to make publicly available on our website or social media platforms, such as blog comments, testimonials, or social media posts, will be accessible to others. This includes information shared on platforms like Facebook, Twitter, Instagram, TikTok, and other similar social media channels. It's important to understand that these platforms are third-party sites and operate independently from our website. Therefore, the information shared on these platforms is beyond our control and is subject to the privacy policies and practices of the respective social media companies.
Once information is made public on our website or social media channels, it can be copied, shared, or saved by other individuals or entities. Even if this information is subsequently removed from our site or social media profiles, copies of it may remain viewable in cached and archived pages on other websites or if others have chosen to save or share the information. We have no control over the persistence of information once it has been copied or saved by third parties from our website or social media channels.
We encourage all users, including guardians of minors, to exercise caution and consider the privacy implications before sharing any personal or sensitive information publicly, especially on social media platforms.
YOUR RIGHTS
You have the right to review, correct, update, or delete your Personal Data by either logging into your account and making the changes yourself or contacting us directly to do so. For minors, these actions must be taken by the guardian, respecting the guidelines set by the PDP Act and HR Act. Please contact us to facilitate these changes.
STORAGE AND SECURITY OF YOUR INFORMATION
We will use all reasonable means to protect the confidentiality of your Personal Data while in our possession or control. For minors, we ensure enhanced protective measures are in place as per the PDP Act and HR Act. All information we receive from you is stored and protected on our secure servers from unauthorized use or access. Credit card information is encrypted before transmission and is not stored by us on our servers.
To enable us to deliver our services, we may transfer information that we collect about you, including Personal Data, across borders for storage and processing in countries other than Australia. If your Personal Data is transferred and processed outside Australia, it will only be transferred to countries that have adequate privacy protections.
We retain your personal information for as long as needed to provide services to you and as otherwise necessary to comply with our legal obligations, resolve disputes and enforce our agreements.
In the event there is a breach of our security and your Personal Data is compromised, we will promptly notify you in compliance with the applicable law.

The use of cookies enables our website to tailor its configuration to meet your needs and preferences, or those of your guardian if you are a minor. Please note that cookies do not access information stored on your computer or any Personal Data such as name, address, email address, or telephone number. Most web browsers automatically accept cookies, but you, or your guardian on your behalf, can choose to reject cookies by altering your browser settings. Be aware that this may limit your ability to fully utilise our website.
Our website utilises cookies to analyse website traffic, provide social media sharing and liking functionality, and to enhance the overall visitor experience. These ads may appear both on our website and on other sites you visit. For minors, any data collection through cookies and pixels is managed with the oversight and consent of a guardian.
SHARING YOUR INFORMATION WITH THIRD PARTIES
We do not and will not sell or deal in Personal Data or any user or stakeholder information, including that of minors.
Your Personal Data, or in the case of minors, the Personal Data provided by your guardian, is only disclosed to third-party suppliers when required by law, for goods or services which you, or your guardian on your behalf, have purchased, for payment processing, or to protect our copyright, trademarks, and other legal rights. To the extent that we do share your Personal Data, or that of a minor, with a service provider, this is only done if the service provider has agreed to comply with our privacy standards as described in this privacy policy and in accordance with applicable law. Our contracts with third parties prohibit them from using any of your Personal Data, or that of a minor, for any purpose other than that for which it was shared.
DISCLOSURE OF YOUR INFORMATION
We may, from time to time, need to disclose certain information, which may include your Personal Data or, if you are a minor, the Personal Data provided by your guardian. Such disclosure is necessary to comply with legal requirements such as laws, regulations, court orders, subpoenas, warrants, in the course of legal proceedings, or in response to requests from law enforcement agencies. We may also use this Personal Data to protect the rights, property, or safety of Gippsland Youth Spaces, our users, or third parties.
In the event of a change of control in our business (due to merger, sale, transfer of assets, or otherwise), user information, including your Personal Data or that of a minor provided by a guardian, may be transferred to a purchaser under a confidentiality agreement. We commit to disclosing Personal Data only in good faith and when required by any of the aforementioned circumstances.
